Rich Text Marketing, LLC (“RTM,” “we,” “us,” or “our”) respects your privacy.

This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you visit or interact with:

  • richtextmarketing.com;

  • RTM landing pages and forms;

  • RTM emails and downloadable resources;

  • appointment-scheduling pages;

  • RTM consulting, coaching, training, and related services; and

  • other webpages or online services that link to this Privacy Policy.

Together, these are referred to as the “Services.”

1. Information We Collect

Information You Provide

We may collect information that you voluntarily provide, including:

  • first and last name;

  • email address;

  • telephone number;

  • company name, job title, and business information;

  • information submitted through forms, surveys, assessments, or scheduling tools;

  • questions, messages, and other communications;

  • appointment and meeting information;

  • information needed to deliver consulting, coaching, training, or other services; and

  • billing or transaction information associated with paid services.

Payment-card information may be processed by a third-party payment processor. RTM may receive transaction details, payment status, and limited payment information, but we do not intend to retain complete payment-card numbers.

Please do not submit Social Security numbers, financial-account credentials, medical information, or other highly sensitive personal information through ordinary RTM website forms or email.

Information Collected Automatically

When you use the Services, RTM and its service providers may automatically collect information such as:

  • Internet Protocol address;

  • browser type and version;

  • device type and operating system;

  • referring and exit pages;

  • pages visited and links selected;

  • date, time, and duration of visits;

  • form interactions and submissions;

  • cookie or similar identifiers; and

  • email-delivery, opening, and link-click information.

Information From Other Sources

We may receive business contact information from:

  • referrals;

  • publicly available business sources;

  • social and professional networking platforms;

  • event registrations;

  • business directories; and

  • service providers that assist with legitimate business development.

4. Email Communications

When you request a resource, subscribe, submit a form, or otherwise provide your email address, RTM may:

  • send the resource or information you requested;

  • send operational or service-related communications; and

  • send occasional marketing or informational emails related to RTM’s services, resources, and offers.

You may unsubscribe from marketing emails at any time by selecting the unsubscribe link contained in the email.

Unsubscribing from marketing emails will not prevent RTM from sending non-marketing communications necessary to respond to a request, administer an existing engagement, provide a purchased service, or comply with legal obligations.

For recipients in Canada, RTM will send commercial electronic messages only when it has consent or another lawful basis recognized under Canada’s Anti-Spam Legislation, where that law applies. Those messages will include required sender identification, contact information, and a working unsubscribe mechanism. RTM may retain records of consent, relevant business relationships, and unsubscribe requests as needed to demonstrate compliance.

RTM’s commercial emails are intended to use accurate sender information, non-deceptive subject lines, a valid postal address, and a working opt-out method.

Canada’s Anti-Spam Legislation generally requires consent, sender identification and contact information, and an unsubscribe mechanism for commercial electronic messages.

5. How We Disclose Information

RTM may disclose information to service providers that perform functions on our behalf, including providers of:

  • website, landing-page, and form hosting;

  • customer-relationship management systems;

  • email delivery and marketing systems;

  • scheduling and videoconferencing tools;

  • payment processing;

  • cloud storage and document management;

  • analytics and technical support;

  • accounting, legal, and professional services; and

  • other business-productivity services.

These providers may process information only as needed to provide services to RTM or as otherwise permitted by their agreements and applicable law.

RTM may also disclose information:

  • when you request or authorize the disclosure;

  • to protect RTM’s rights, property, systems, or safety;

  • to investigate fraud, misuse, or unlawful activity;

6. Sale of Personal Information

RTM does not sell personal information for monetary consideration.

Disclosing information to service providers that process it on RTM’s behalf is not intended to constitute a sale by RTM.

If RTM’s practices change materially, this Privacy Policy should be updated before the new practices begin.

7. Data Retention

RTM retains information only for as long as reasonably necessary to:

  • provide the Services;

  • maintain business and client relationships;

  • fulfill the purposes described in this Privacy Policy;

  • maintain financial, tax, accounting, and business records;

  • comply with legal and contractual obligations;

  • resolve disputes;

  • enforce agreements; and

  • protect RTM’s legitimate business interests.

Marketing contact information may be retained until you unsubscribe, request deletion, or RTM determines that it is no longer useful.

RTM may retain limited information after an unsubscribe or deletion request when necessary to document the request, prevent future marketing messages, meet legal obligations, or protect legal rights.

8. Data Security

RTM uses reasonable administrative, technical, and organizational measures intended to protect information against unauthorized access, acquisition, loss, misuse, alteration, or disclosure.

No website, email system, data-transmission method, or storage system can be guaranteed completely secure. You provide information electronically at your own risk.

If RTM determines that a security incident requires notification, RTM will provide notice in accordance with applicable law. Pennsylvania law imposes notification obligations for qualifying breaches involving covered personal information.

10. Children’s Privacy

The Services are intended for businesses and adults. They are not directed to children under 13.

RTM does not knowingly collect personal information from children under 13. If you believe a child under 13 has provided personal information to RTM, contact us so that we can review and, when appropriate, delete it.

COPPA imposes additional obligations on covered websites that knowingly collect personal information from children under 13.

11. Canadian and Other International Visitors

RTM is based in Pennsylvania, United States, and may provide resources or services to companies headquartered in Canada.

When Canadian individuals provide personal information to RTM, that information may be transferred to, processed in, and stored in the United States or other jurisdictions where RTM’s service providers operate. Information processed outside Canada may be subject to the laws of the jurisdiction where it is stored or processed and may be accessible to courts, law-enforcement agencies, or government authorities in accordance with those laws.

Where applicable, RTM will handle personal information relating to Canadian individuals in accordance with Canada’s Personal Information Protection and Electronic Documents Act or other applicable Canadian privacy laws.

RTM does not currently direct its marketing specifically toward residents of the European Union or United Kingdom. However, individuals located outside the United States or Canada may still access the Services or contact RTM. If RTM’s activities become subject to additional international privacy requirements, RTM may update this Privacy Policy and its practices accordingly.

Canadian privacy guidance emphasizes transparency when personal information may be transferred to another jurisdiction for processing. Foreign organizations may also become subject to PIPEDA when their activities have a real and substantial connection to Canada.

12. Third-Party Websites and Services

The Services may link to or integrate with third-party websites, social platforms, payment services, scheduling tools, and other online services.

RTM does not control those services and is not responsible for their privacy, security, content, or business practices. Review the privacy policies and terms of those third parties before providing information to them.

13. Changes to This Privacy Policy

RTM may update this Privacy Policy to reflect changes in:

  • business practices;

  • technology;

  • service providers;

  • legal requirements; or

  • the Services.

The revised policy will be posted with an updated “Last Updated” date.

When appropriate, RTM may provide additional notice of a material change.
